Summary:

The prospective student service office clerical assistant supports prospective and admitted students throughout the recruitment, admission, and pre-arrival/arrival stages of the student life cycle. This position serves as a key point of contact for enquiries from students, families, educational partners, and the broader community, providing information about admissions, applications, student services, and university programs. The assistant contributes to student recruitment activities by promoting the university and supporting recruitment and retention initiatives. Responsibilities include assisting with recruitment events, maintaining prospect information and enquiry records, and supporting administrative processes within the department. This position also collaborates with units across the unit to facilitate effective responses to student enquiries and support enrolment objectives.


Duties and Responsibilities:


  • Provides detailed information regarding admission requirements, application procedures, student support services, student life programming, and university programs to prospective students and other stakeholders.

  • Responds to telephone, email, web-based, and in-person inquiries from prospective and admitted students, parents, counsellors, educational representatives, community partners, university staff, and the public.

  • Facilitates effective handling of student inquiries in collaboration with the department and unit.

  • Supports recruitment and retention initiatives by communicating information about events, opportunities, and services to prospective students and the campus community.

  • Maintains prospect records by entering, updating, and editing information within the Recruitment Management System (RMS).

  • Assists the unit with administrative activities.

  • Supports special events and departmental initiatives through clerical and administrative assistance.

  • Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.

Qualifications:


  • An office administration diploma.

  • Minimum of three years of related experience in a client service environment within a post-secondary educational institution.

  • Experience in student recruitment and admissions, including domestic and international student processes, is an asset.

  • Knowledge of the university, its academic programs.

  • Strong interpersonal and communication skills.

  • Ability to handle sensitive situations with tact, discretion, confidentiality, and cultural awareness.

  • Effective problem-solving, creativity, and event-planning skills.

  • High attention to detail and accuracy.

  • Ability to work effectively both independently and collaboratively in a team.

  • Proficient computer skills, including Microsoft Office applications, Banner, RMS-Recruit, PAWS, and social media platforms.

Department: Student Recruitment

Status: Term 1 year with the possibility of extension or becoming permanent


Employment Group: CUPE 1975 - Restricted


Shift: Mon-Fri, 8:00-4:30pm


Full Time Equivalent (FTE): 1.0


Salary: The salary range, based on 1.0 FTE, is $24.74 - 31.37 per hour. The starting salary will be commensurate with education and experience.
