Engineering Shipper/Receiver and Key Custodian
Summary:
This incumbent reports to the Supervisor, Engineering Shops. The incumbent works within established customer service guidelines and expectations of the unit.
This position operates in a diverse, complex, and often highly active office environment with multiple competing demands and very strict deadlines. Continuous change, shifting priorities, and frequent interruptions are the norm.
The work expectations in this position varies from basic administrative tasks to shipping and receiving of small to heavy and oversized items to, or received from, external parties.
This position works independently with direct support from supervisor to handle a high volume of work and at times will be under pressure to meet deadlines. The position also works collaboratively with fellow employees and with other support staff while ensuring compliance to safety procedures when receiving dangerous goods into the building.
The work includes solving problems requiring judgement assessments using defined processes and knowledge. Impact of error is high as the position is responsible to ensure day-to-day work is completed with the highest degree of accuracy. Prompt, complete, and accurate work is extremely important to mitigate risks associated with health and safety and ensuring that movement of goods is timely.
The position requires a moderate to high level of physical demand, including moderate to heavy lifting, bending, pushing or pulling associated shipping/receiving functions and other duties typically found in a warehouse environment. There is an expectation of the incumbent to be able to lift up to 23 kg unassisted and over this with proper equipment and assistance as required.
The incumbent is expected to adorn required personal protective equipment (PPE), including steel toe boots. Clothing such as sweaters with hoods or loose suited clothing are not permitted.
Occupational hazards may also include noise, fumes, vibrations, varying weather, and related conditions typical of working in a warehouse environment. The incumbent must be aware and mindful of safety hazards and work in compliance with all applicable policies, regulations, and safety practices.
Duties and Responsibilities:
The incumbent is expected to provide efficient and respectful front-line customer service to all stakeholders; ensuring queries are responded to or triaged and escalated appropriately.
Key Custodian:
Coordinate ordering, distributing, collecting, and accounting for all keys in the college by performing activities such as:
- Develop, maintain, and publicize key request form based on requirements defined by Facilities.
- Ensure all keys are properly authorized and safety training documented prior to issuing keys to recipient.
- Enter and track key requests into key database.
- Maintain current and accurate key records and prepare personnel or space key reports upon request.
- Ensure all keys returned are removed from the key database and sent to facilities for appropriate disposal.
- File repair and maintenance requests for locks throughout the building.
- Maintain and update information on college website for keys.
Stores:
Coordinate the purchase, inventory, deployment, and stocking of all consumable supplies (office, safety, compressed gas cylinders, and shop) in the college by performing activities such as:
- Maintain standard supplies in stock by performing regular inventory.
- Purchase supplies when stock is running low.
- Deploying supplies to main hubs in college or storing supplies within office.
- Safely handling, storing, and securing all compressed gas cylinders.
Support technical staff who have procured specialized supplies by purchasing and coordinating the receipt and deployment of such items.
Use university preferred vendors for purchasing supplies or identify preferred vendors for unique items that require purchasing as appropriate.
Prepare and submit timely and accurate P-Card expenditures and reconciliations for all expenses incurred.
Shipping & Receiving:
Coordinate shipment and receipt of all products, equipment, materials, and supplies in the college by performing activities such as:
- Receive and inspect all incoming shipments.
- Promptly unload deliveries with forklift, dolly, or manually as required, and sort and stock receivables.
- Sort and deliver daily mail to the main hubs in the college.
- Return error shipments or damaged goods back to vendor.
- Notify intended recipients of arrival of shipment, tracing ownership by accessing purchase order if recipient identity is unclear.
- Prepare waybills, export documents, and transportation of dangerous goods documentation.
- Package shipments as required in preparation of shipping.
- Schedule pickup of shipments with preferred couriers.
- Trouble-shoot on behalf of faculty, staff, and students regarding problem orders.
- Maintain accurate records of incoming and outgoing shipments, scanning inventory, and counting accurately.
- Maintain and update information on college shipping/receiving webpages.
General Duties:
- Develop and maintain procedural manual for the position.
- Maintain a clean, safe, organized, and neat workspace and office.
- Prepare and maintain information directories in the main college entrances and outside elevators and on college building webpages (access, hours, maps, main offices, etc).
- Other duties within the scope of work identified for this position will be assigned from time to time.
Qualifications:
Education:
The incumbent must have completed grade 12.
Comprehensive chemical and dangerous goods safety training including WHIMS and training and/or experience in Transportation of Dangerous Goods (TDG) for shipping and receiving is required. Incumbent must complete training successfully and maintain throughout duration of employment.
Additional shipper/receiver training and/or experience in the use and safe handling of compressed gases would be beneficial.
Licenses: A valid Province of Saskatchewan Class 5 driver's license with an acceptable driving record is preferred. It would be beneficial for the incumbent to have or obtain and maintain a valid forklift license.
In the absence of a valid operator's certificate for powered industrial vehicles (forklifts), several years of experience operating a forklift and the willingness to obtain a certificate within the probationary period will be considered.
Experience:
1 to 2 years' directly relevant experience is required. Preference will be given to candidates who can demonstrate they possess prior experience in inventory management, administrative as well as shipping and receiving coordination.
